How much do payroll services cost for a small business in Ontario?
We charge a flat monthly fee based on your number of employees and pay frequency. We quote it before we begin, with no per-slip surprises.
How soon must I issue a Record of Employment when an employee leaves?
Generally within five calendar days. For a paper ROE, that is five days from the first day of the interruption of earnings, or the day you learn of it. For an electronic ROE, it is five days after the end of the pay period in which earnings were interrupted (for monthly or four-week pay periods, the earlier of that date and 15 days after the first day of the interruption). A late ROE can delay the employee’s EI claim.
What penalties do I face for filing T4 slips late?
he CRA charges a flat $100 when 1 to 5 slips are filed late. For more slips the penalty is charged per day late, starting at $5 a day for 6 to 10 slips, up to a maximum of $7,500 for very large filers. T4 slips are due by the last day of February.
How often do I have to remit payroll deductions to the CRA?
It depends on your remitter type, which the CRA sets using your average monthly withholding amount from two calendar years earlier. Most small employers are regular remitters and pay monthly, by the 15th of the following month. Very small employers with a perfect compliance record may qualify to remit quarterly, and larger employers remit more often as accelerated remitters. We track your CRA payroll remittance schedule and pay on time.
Can you set up payroll for my first employee?
Yes. We register your CRA payroll account, run your first pay run and guide you through the TD1 forms and withholdings from day one.
Do I have to pay WSIB premiums for my Ontario employees?
If your business is in an industry covered by the WSIB, you generally have to register and pay premiums. Coverage depends on your industry, so check with the WSIB or ask us.
Should I do payroll myself with software or outsource it?
Payroll software such as QuickBooks Payroll automates the calculations, but you stay responsible for timely remittances, accurate filings and keeping up with rule changes. With outsourced payroll, we do that work for you and keep you informed. The employer still carries legal responsibility to the CRA, so accuracy and deadlines matter either way.
Do you calculate vacation pay and statutory holiday pay?
Yes. Vacation pay and statutory holiday pay calculations follow Ontario’s Employment Standards Act.
What should I do if my payroll has had errors in the past?
We review your payroll history, correct the outstanding filings and put timely ongoing processing in place. We can also coordinate with the CRA on paying any shortfall.
